General Summary

The Pecos Center Secretary provides administrative and clerical support to ensure the smooth daily operations of Odessa College’s Pecos Extension Center. This position serves as the first point of contact for students, faculty, and visitors, offering excellent customer service and assisting with a variety of office and academic support functions. Responsibilities include managing correspondence, scheduling appointments, maintaining records, processing student documentation, and coordinating with the main campus departments to support college programs and community initiatives.
The ideal candidate demonstrates strong organizational skills, attention to detail, and proficiency with office technology and software. They should be capable of multitasking in a fast-paced environment while maintaining a welcoming and professional atmosphere that reflects Odessa College’s commitment to student success and community engagement.

Specific Position Duties

  • Maintain courteous and dependable contact with public through telephone and personal interaction.
  • Submit purchasing requisitions and maintain records.
  • Submit invoices and maintain xerox, fax, postage and room rental accounts.
  • Compose, edit, assemble, coordinate, and word process various documents, agenda, reports and campus activity documents as assigned.
  • Maintain daily log on services being provided to students/visitors and compile campus reports; Receive mail and forward to appropriate person.
  • Assist with admissions and financial aid process and maintain student files.
  • Maintain appointment intake system for student advisement and registrar services.
  • Assist with Compass test registration and proctor students; also assist with test proctoring services as needed.
  • Assist with cashier process and prepare bank deposits.
  • Assist the Continuing Education office in the absence of the coordinator.
  • Assist students or the technology department with technology issues as needed.
  • Set up part-time employee appointments on campus computer system.
  • Maintain fire extinguisher inspection log for the Physical Plant office; Other duties as assigned by the Director.

Minimum Qualifications

High school graduate or GED.
Pleasing and appropriate telephone techniques.
Ability to be personable, tactful and pleasant at all times.
Strong organization and communication skills.
Demonstrated background in assuming responsibility, initiative and working in a fast-paced environment.
Personal qualities of dependability, organization and attention to detail.
Demonstrated background in the correct use of English language, including spelling, punctuation and grammar as well as knowledge of letter/memo/document formats Knowledge of office computer systems, including word processing, database management, spreadsheets, PowerPoint, and publisher Strong filing skills with ability to organize, maintain and retrieve from a large system.
